Seamless Onboarding
Built in Australia for real-world compliance, WorkZerk turns onboarding anyone from a circus into a system. No apps. No passwords. No registration hurdles.
Just send a link—via email or QR code—and watch live as contractors, staff, visitors, volunteers, members, guests or patients complete everything you need, exactly how you need it.
Onboarding that just works
Someone opens their personalised onboarding link—on-site or at home.
The WorkZerk Onboarding Wizard guides them step-by-step:
Upload documents
Sign or agree to declarations
Complete inductions
Fill out required fields
What makes WorkZerk different: You design custom, reusable onboarding templates that combine:
Supporting content (instructions, induction videos, safety PDFs, policy documents)
Compliance actions (document uploads, data collection, e-signatures, declarations)
The successful completion of these actions is retained for 7 years for future auditing purposes.
Documents such as ID can be securely deleted automatically once verified by a human (to comply with the Australian Privacy Principles of The Privacy Act 1998).
Whether it’s SWMS and site inductions for construction, or vaccination records and licenses for healthcare—WorkZerk adapts to your workflow.
Need human eyes on critical documents? Add manual admin checkpoints anywhere in the flow.
The result?
People onboarded automatically, faster, smoother, and without the chaos.
Australian built, owned and supported from Brisbane.
Onboarding Templates
Each onboarding template can display content (images, text, PDF’s) and request actions (upload files, input information, follow link, get signature, make declaration and human verification) at each step.
This is structured in WorkZerk is through the relationships below:
Spaces > Portals > Templates > Sections > Steps > Content + Actions
To create onboarding within the Portal, you start with a Section which defines a series of Steps which can reordered as required.
You then add as many steps as are required to complete onboarding within that Portal.
Content
Content is what you provide at each step of the onboarding process to the person being onboarded, which can include a combination of instructions, images, PDF’s and links to any external applications or tasks.
Instructions
-
Each Compliance Step within a Section starts with Instructions, which is a free form plain text field allowing you to provide instructions, guidance and information as required (for whatever purposes).
Site Navigation & Logistics Instructions commonly guide people through the physical environment—where to park, which entrance to use, where to find their supervisor on arrival, and how to access amenities like restrooms and break areas. For construction sites, this extends to material storage locations, waste disposal areas, and site communication protocols. This practical wayfinding information helps new arrivals feel oriented and reduces the confusion that slows down onboarding.
Safety & Emergency Procedures can communicate safety information — emergency assembly points, evacuation procedures, first aid station locations, and emergency contact numbers. Construction sites use this space to detail site-specific PPE requirements, exclusion zones, and hot work permit procedures. Healthcare facilities explain hand hygiene protocols and infection control measures. These instructions ensure everyone knows how to stay safe and what to do in an emergency before they even step on site.
Access & Security Instructions frequently cover building access procedures, including where to collect swipe cards, keys, or access codes, and explain security protocols like visitor sign-in requirements, photography policies in secure areas, and confidential document handling. For corporate offices, this includes IT security reminders about locking screens and password policies. These instructions protect both the organization and help new people understand boundaries from day one.
Document & Compliance Instructions are invaluable for specifying exactly what's needed for file uploads — file format requirements, document validity periods (like "must be current within 12 months"), what information must be visible, and examples of acceptable documentation. For declarations, they might explain what the signature legally represents and consequences of false information. This reduces rejected submissions and back-and-forth communication.
Role-Specific Expectations Instructions also communicate immediate job expectations and policies—shift times, break schedules, uniform requirements, service standards, or supervision responsibilities. In hospitality, this might cover cash handling procedures; in education, student supervision ratios; in healthcare, patient privacy protocols. These instructions set clear expectations about conduct and responsibilities before someone's first day, ensuring everyone starts on the same page.
Image
-
Each Compliance template can contain an image (PNG/JPEG) that is either displayed inline (shown immediately) or clickable to view within a popup window.
Content is for induction, training or supplemental information reasons. For example, you might show a map with emeregence assembly points for physical sites.
-
You can display a PDF document within a compliance template for induction, training or supplemental information.
WorkZerk has it’s own built-in PDF viewer, so the portal member stays within the application.
Actions
Actions are what’s requested from the person being onboarded to comply with your onboarding process.
This can include requiring document uploads, inputting information, making declarations or even digitally signing.
Upload
-
Request the secure upload of documents such as SWMS’s (safe work method statements), identification documents, licenses, certificates, agreements etc. (PDF, PNG, JPEG format).
If you activate the self destruct feature, the document will be securely deleted once verified by a human, or once the retention period has expired.
Input
-
Prompt for direct input using single or multi line text boxes, checkboxes, multi-choice or date fields e.g. request date of birth.
Link
-
Require opening external links to other apps, hosted videos or forms.
This can be used for training, reference, or to complete third party forms, surveys etc. Whatever you can link to - you can include in your compliance template.
Signature
-
An e-signature can be requested via touch or mouse with the full signature being captured.
Declare
-
Seek a declaration e.g. ‘I acknowledge the hazards’, ‘I have all the required PPE’ or ‘I accept the terms and conditions’ etc.
Open
-
Require the viewing or opening of a file (Image/PDF) you provided.
Images can be displayed inline with the portal, and PDF’s can be opened and viewed within the portal (in a pop up window).
Verify
-
Ensure manual human verification, where required. This is known as HITL or ‘Human in the Loop’ and ensures manual human verification of any compliance step (if required).
